HBS Time and Attendance/Vacation Leave Assessment

What is “TAVLA”?

  • Time and Attendance
    • Implement a campus-wide timekeeping system
    • Use the Medical Center’s system (Huntington Business Systems - HBS)
    • We will be the first campus in the UC system
  • Vacation Leave Assessment
    • UCOP policy requires all campuses to create a pool of funds for the purpose
      of funding vacation
    • We will be the last campus in the UC system
  • Why TA and VLA together?
    • VLA will result in financial transactions
      • Assessment – monthly expense on employee’s funds if vacation-eligible
      • Usage – credit to the employee’s funds when they use vacation
      • Terminal – paid by the pool, not the employee’s funds
    • Better quality data/more efficient process for VLA if TA is in place
    • Better quality/more timely timekeeping for TA if VLA is in place (people
      will want the vacation CREDITS)

    • Hosting decision (2003-2004)
    • Shadowing Med Center implementation (2004-2005)
    • Campus Implementation Assessment (2005-2006)
    • ASAC decision to move TAVLA timeline forward (2007)
  • Phase 2: Key Strategic Decisions
    • VLA and TA
    • Timeline September 2007 – February 2008
  • Phase 3: Project Implementation
    • Assess, Design, Build, Test, Change Management, Cutover
    • Timeline March 2008 – July 2010
