Timekeeping Evaluation

In part of UCSF Health's efficiency and cost-saving efforts, UCSF Health leadership needed a way to track real-time nursing staff levels for better management of staffing expenditure and enabling real-time staffing reporting. As UCSF Health has a variety of timekeeping methods deployed for different employee populations, including clocking in and out via badge readers or computer terminals, or entering time via a web app, Health leadership recognized the need to standardize the non-exempt employee population on their clocking in and out systems.

Concurrently, the current HBS platform became obsolete and a decision was needed for both UCSF Health and Campus on the short-term and long-term strategic decision in an overall timekeeping solution. The PMO was engaged to understand the current challenges and pain points, identify the high-level gaps and provide potential solutions and recommendations to the leadership team.

A final assessment report was issued that comprised consolidated key findings with a common theme, prioritized short-term solutions, and recommendations for the long-term strategy with a roadmap. The report was leveraged for the UCSF team when participating in the UC Health Timekeeping RFQ initiative as well as the key information for the UCSF Senior Leadership Team to assess and select the timekeeping system that UCSF will be invested in and implemented as the long-term solution.
